The Executive Assistant will be responsible for providing comprehensive administrative support to the executive team. This role involves managing schedules, organizing meetings, and handling sensitive information with discretion. The ideal candidate will be detail-oriented, a strong communicator, and able to prioritize effectively in a fast-moving environment.
Key Responsibilities:
Executive Support: Provide administrative support to the executive team, including managing calendars, scheduling meetings, and handling phone calls and emails.
Communication: Act as a liaison between executives and internal/external stakeholders, ensuring timely and professional communication.
Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and minutes. Ensure follow-up actions are completed.
Travel & Logistics: Arrange domestic and international travel, accommodations, and itineraries for executives. Manage expense reports and travel reimbursements.
Document Management: Handle confidential documents and ensure proper filing and organization of digital and physical files.
Event Planning: Coordinate and manage company events, conferences, and offsite meetings.
Project Support: Assist in tracking and following up on various projects and initiatives as directed by the executive team.
Miscellaneous Tasks: Perform other administrative duties as required to support executives and the broader team.
Qualifications:
Experience: Minimum of 1+ years of experience as an Executive Assistant or in a similar role supporting senior-level executives.
Education: Bachelor’s degree or equivalent experience preferred.
Skills:
Exceptional organizational and time-management skills.
Strong communication skills, both written and verbal.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with calendar management, travel coordination, and expense reporting.
Ability to handle confidential and sensitive information with discretion.
Strong attention to detail and the ability to multitask effectively.
